Key Roles & Responsibilities
The Associate Project Specialist – HEVA will provide end-to-end project coordination and operational support to global HEVA initiatives. Key responsibilities include: Associate Project Specialist HEVA Jobs
- Working closely with HEVA senior leadership, therapy area leads, business partners, vendors, finance teams, and ITA teams to coordinate operational activities
- Supporting therapy area leads with periodic budget reviews and ensuring accurate budget oversight and tracking
- Maintaining therapy area project trackers, worksheets, and budget documents while identifying gaps and follow-up actions
- Coordinating North America intake processes, statements of work (SOW), fund allocations, and budget realignments
- Tracking contracts, purchase orders, invoicing, cross-charges, and year-end financial activities
- Supporting organization of advisory boards, governance meetings, and external scientific engagements
- Coordinating with vendors for onboarding, contract execution, renewals, amendments, and pharmacovigilance training compliance
- Monitoring invoice processing, scheduling meetings, and preparing meeting documentation and minutes
- Providing project management support to scientific writers and HEVA teams to ensure timely delivery of publications and medical education materials
- Supporting submission initiation, amendment handling, scope of work development, and project scheduling
- Tracking risks, issues, and milestones while supporting stakeholder follow-ups
- Managing publication and editorial workflows, including QC tracking and compliance timelines
- Supporting use of publication and compliance tools such as DataVision, Matrix, RightFind, PromoMats, NAYA, PrismAccess, and eBuy
- Assisting with literature searches, full-text article sourcing, congress material downloads, and content categorization
- Supporting adherence to compliance, approval, and audit requirements across HEVA deliverables
- Maintaining HEVA trackers, dashboards, and Smartsheets to ensure data accuracy and timely reporting

Eligibility Criteria
Education
- Advanced degree in:
- Life Sciences
- Pharmacy
- Biomedical Sciences
- Or related scientific disciplines
- Medical degree holders may also be considered
Experience
- 1 to 3 years of post-qualification experience

- Prior exposure to medical communications, HEVA, or pharmaceutical environments is preferred
Skills Required
