Key Roles & Responsibilities
1. Clinical Trial Associate / Clinical Trial Documentation Specialist
This role focuses on end-to-end clinical trial documentation, TMF oversight, and regulatory compliance activities. Hvantage Hiring Clinical Trial Associate Payments Specialist
Key Responsibilities Include:
- Managing and maintaining Trial Master File (TMF / eTMF) with continuous audit readiness
- Preparing, reviewing, and maintaining essential clinical documents such as Protocols, Informed Consent Forms (ICFs), Case Report Forms (CRFs), and Clinical Study Reports (CSRs)
- Ensuring compliance with ICH-GCP, FDA 21 CFR Part 11, and ISO 14155 requirements
- Supporting site initiation, monitoring, and close-out activities
- Coordinating with internal teams and external stakeholders for clinical documentation and compliance activities
- Assisting with regulatory submissions and health authority inspections
- Conducting internal quality reviews and managing deviation and CAPA activities
- Working with clinical systems such as CTMS, EDC, and document management platforms
- Utilizing tools such as Medidata RAVE, Oracle Inform, and Veeva Vault
- Developing trial tracking reports, metrics, and dashboards using advanced Excel
2. Clinical Trial Payments Specialist (Medidata Configuration Expert)
This role is responsible for managing financial operations related to global clinical trials, with a strong focus on Medidata-based payment systems.
Key Responsibilities Include:
- Configuring and managing Medidata payment modules for investigator and vendor payments
- Overseeing end-to-end clinical trial payment processing and reconciliation
- Maintaining accurate internal trackers for study payments and financial milestones
- Identifying, resolving, and escalating payment discrepancies and system issues
- Supporting Accounts Payable processes, purchase order creation, and vendor onboarding
- Ensuring compliance with audit requirements, including SOC 1 readiness
- Communicating with clinical sites, CROs, vendors, and internal finance teams
- Supporting financial reporting and reconciliation activities using advanced Excel tools
- Collaborating with cross-functional teams to ensure timely and accurate trial payments
Eligibility Criteria
Education
For Clinical Trial Associate:
- Bachelorβs degree in Life Sciences, Health Sciences, Nursing, or Pharmacology
- GCP Certification is mandatory
For Clinical Trial Payments Specialist:
- CA / MBA / Finance / Accounting or equivalent qualification
Experience
- Minimum 4 to 8 years of relevant experience in clinical research or clinical trial finance
- Experience working on international or global clinical trials is preferred
- Hands-on exposure to sponsor, CRO, or service-provider environments
Skills Required
Clinical Trial Associate:
- Strong knowledge of TMF and eTMF management
- Solid understanding of clinical trial documentation and regulatory compliance
- Experience with CTMS, EDC, and clinical trial platforms
- Ability to manage audits, inspections, and CAPA processes
- Strong analytical, organizational, and documentation skills
Clinical Trial Payments Specialist:
- Proven expertise in Medidata payment configuration and management
- Strong financial reconciliation and analytical skills
- Advanced Excel proficiency for financial analysis and reporting
- Familiarity with SAP, NetSuite, Coupa, or MineralTree is an advantage
- Excellent communication and stakeholder management skills
